Facility Usage (General)

Please complete this application if you are interested in using our facilities.

GENERAL RULES AND GUIDELINES
1. For East Pickens Church-sponsored groups or parties using the building there is NO CHARGE. Otherwise, refer to the Request Form section for fees. CHURCH-SPONSORED GROUPS/PARTIES ARE THE ONLY ONES ALLOWED TO USE CONSUMABLE SUPPLIES (KITCHEN PAPER PRODUCTS, FOOD, CONDIMENTS, ETC.) THAT BELONG TO THE CHURCH.
2. For WEDDINGS, please contact us for access to the church WEDDING POLICY and Fee Schedule prior to completing this request form, as some of these policies/fees differ.
3. To use the building, submit this application at least 15 days in advance. Final approval of this request by the ministerial staff and payment of any fees due are necessary before the event is officially added to the Church Calendar. No request will be considered more than 3 months in advance.
4. If you reservation is approved, the doors will be set to be unlocked for the duration of your reservation time. Keys are no longer needed, and you will not need to do anything with the doors. Please do not mess with the position of the panic bars or use a key on the doors. They will automatically lock at the end of your reservation time slot. You will only need to set the alarm and exit. You will receive instructions about the alarm system if your reservation is approved.
5. Groups are responsible for conduct while building is in use. Christian behavior is expected.
6. Groups should be properly chaperoned. Under no circumstances are children or teens allowed to use the facility unattended by parents/adults.
7. No Smoking or Alcoholic Beverages are allowed on the premises.
8. The church facility will not be used for the sell of products or services solely for personal gain.
9. Any music used in the building must be reviewed by ministerial staff for approval.
10. The individual who signs the Request Form must be present at the function and is the responsible party for the event.
11. All trash from the kitchen, restrooms, and food service should be bagged and placed in the outside commercial trash bins behind the building. Do not leave any trash inside the building under any circumstances.
12. Clean up any spills immediately. Please clean the building after your event by sweeping and mopping floors, wiping down table and chairs, cleaning the kitchen, checking restrooms and making sure all toilets are flushed. The cleaning fee is included for someone to restock supplies and ensure the area is ready for the next building usage. Cleaning supplies are located in the custodial closet. Instructions for unlocking this closet will be provided in your reservation approval email. Dispose of all leftover food/drinks.
13. Keep furniture in order. Use hand trucks to move chairs and carts to move tables. NOTE: If your reservation includes the use of Room 200, please ensure that you leave the room set up exactly the way you found it so that it is ready for use on Sunday.
14. Do not remove kitchen equipment.
15. Turn thermostats back to where you found them and turn off all lights. Doors will be set to unlock and lock automatically based upon your reservation time. All you will need to do to exit will be to set the alarm and walk out.
16. All church-related functions will be given priority over private use of buildings, and Saturday reservations are limited to two time slots, 7am-2pm or 2pm-9pm.
17. All audio/visual equipment must be operated by trained EPBC technicians. Please consult the church to secure your needs in this area 30 DAYS IN ADVANCE. An additional $75 fee will be required for each A/V technician needed per 3 hour span.

CHURCH MEMBER USAGE
Church members that secure the building for showers, family reunions or other personal meetings must be in attendance. Church consumables are not available for use at these events. There will be a cleaning fee of $25.

NON-CHURCH MEMBER USAGE
When the building is used by non-church member parties or groups for an approved event, there are applicable fees as outlined on the Request Form.

THE CHURCH WILL NOT BE RESPONSIBLE FOR ANY ACCIDENT OCCURRING ON THE GROUNDS. ANY DAMAGE OR NEGLECT TO THE CHURCH FACILITIES DURING YOUR EVENT IS YOUR RESPONSIBILITY TO RECTIFY IN A TIMELY MANNER. PLEASE OBEY ALL RULES. THE CHURCH RESERVES THE RIGHT TO LIMIT USE OF THE BUILDINGS.
